Planning a church festival that people actually come back to

Church festivals have a different job than a school carnival. The goal is usually reach, not revenue, and that changes how you price the night.

The short version

  • Decide first whether the night is an outreach or a fundraiser. Do not try to do both halfway.

Outreach night or fundraiser night

This is the first question and most churches answer it too late. An outreach night should be free at the gate and funded by sponsors, the missions budget or a designated offering. A fundraiser night sells wristbands like a school carnival does.

Trying to split the difference with a $5 entry usually gets you the worst of both. It is not enough money to matter and it is enough friction to keep the families you were hoping to reach at home.

The attraction mix that fits a church lot

Church properties around Swansea, Gaston and Pelion tend to have a grass side yard and a paved lot. That combination is ideal because it lets us split loud play from calm play.

  • Grass side yard: obstacle course and the family inflatable, staked into turf
  • Paved lot: bumper car zone and tables, anchored with sandbags
  • Fellowship hall or covered area: yard games and the toddler units, and your weather backup
  • Foam zone on grass, downhill from the food tables so nobody is walking suds into the potato salad

Fall festival timing in the Lower Midlands

The last two weekends of October are the busiest rental dates of our entire year. If your church runs a trunk or treat or a harvest festival, that date should be held in August, not October.

September nights are underrated. It is still warm enough for foam and water play, the calendar is quiet, and you are not competing with every other church in Lexington County on the same Saturday.

Volunteer roles that keep the night calm

Our crew runs the attractions, so your volunteers can spend the night with people instead of with a blower cord. The roles below cover a 200 person night.

  • Greeters at the entrance with a simple sign in card if you want follow up contacts
  • Two to four on food, plus one person who owns the ice
  • One person per non staffed zone like the game corner
  • A pastor or leader who is deliberately not assigned a task and can just talk to visitors

Funding it without charging at the gate

Attraction sponsorships work beautifully in a church setting because the sponsors are often families in the congregation. A $500 foam zone sponsor gets a sign on the loudest, most photographed corner of the night, and a $1,000 event sponsor gets their name on the banner.

Between three attraction sponsors and a designated offering, most churches cover a Carolina Family Fun Night at $1,295 without asking a single visiting family for money.
